Cologne
- What will be the maximum number of delegates, is it 700?
- How did you estimate the number of delegates and what are your plans if those estimates don't match the actual number of registrations (in both directions) ?
- Will there be separate fees for tutorial / sprint days ?
- How will booking administration be handled?
- Is the lunch, breakfast, coffee etc. included in the conference fee?
- Does the conference centre have experience of the expected level of wireless access?
- 8 parallel sessions is likely going to cause problems with too many overlaps, frequent room switching, etc. 8 streams x 3 days x ~4 sessions = 96 sessions is also a lot to fill and introduces organizational overhead before and during the event. Wouldn't it be better to reduce the number of parallel sessions and total number of sessions ?
- The time schedule doesn't mention daily time frames. Do you have a rough idea of the per-day schedule (e.g. start time, lunch time, end time) ?
- What are the plans for use of English / German? Will there be a track in German ? Do you plan to provide translation services ?
- Plans for video / audio recording and distribution?
- Have the options for the conference dinner been explored for costs etc?
- Is there a "partners program" manager?
- Can you describe the cloakroom arrangements? (It is always an issue).
- It would be good to show an organisational chart, may be indicate the roles for "partners programe coordinator", "sponsorship coordinator", "treasurer" etc.
- I recommend to add some safety-margin within the proposed fee
- Do you have prospects for the dinner and lunch sponsoring ? If not, I'd recommend to adjust the conference fees accordingly.
- The budget plan is missing an entry for unexpected/miscellaneous costs. These can easily reach figures of a few thousand EUR.
- What kind of insurance do you plan to get for the conference ? The budget is missing an entry for this.
Is the PyCon DE event you plan for 2010 also going to be held in Cologne and the same venue as the EuroPython event proposed for 2011 ?
- Please include VISA information for people from outside the EU or one of the new EU member states.
Florence
Why do you plan for an "end of spring" event, instead of the usual EuroPython event time in summer ?
- Please add a time schedule with daily time frames (start time, lunch time, end time).
- Can you give the list of venues that would or might be used?
- Would you use a single venue for the whole event?
- What will be the maximum number of delegates?
- What are the arrangements for wireless access?
- Please expand on the "realtime translation" service.
- What is meant by "sponsored talks", how will these be indicated, policy for inclusion?
- Will cost of meals be included in the conference fees?
- Please provide an indication of the cost of different grades of accommodation.
- Will there be support for people to book accommodation?
A budget plan for the expected costs/income is needed to provide confidence that the target of EUR 200 is achievable. (alternative a look at the PyCon Italia budgets could help)
- Is there a "partners program" manager?
- Can you describe the cloakroom arrangements? (I guess this will be dependent on the venue that is chosen but it is always an issue).
- It would be good to show an organisational chart, may be indicate the roles for "partners programe coordinator", "sponsorship coordinator", "treasurer" etc.
- What kind of insurance do you plan to get for the conference ?
